How to plan a 2027 holiday corporate gift program (with video)

A month-by-month planning timeline for year-end corporate gift programs: budget approval, product selection, artwork, sampling, production and freight cut-offs.

Year-end gift programs fail on the calendar far more often than on the product. Buyers who lock artwork in August ship on time; buyers who start in October pay air freight. This is the timeline we give distributors and procurement teams every season.

March to May — shortlist and budget. Decide the recipient tiers (VIP clients, staff, event walk-ins) and set a landed budget per tier. At this stage you only need indicative pricing, so send a product shortlist and target quantities and ask for a range rather than a firm quote.

June to July — sampling. Physical samples take 7 to 10 days plus courier. Approving a sample now means the same tooling, foil dies and pulp inserts are ready when bulk starts, and it gives you photography for the internal proposal.

August — artwork freeze and purchase order. Vector logos, Pantone references and gift-card copy for every tier should be final. Every day artwork slips after this point moves straight onto the ship date.

September to October — bulk production and QC. Expect 15 to 25 days at 500 to 5,000 units, plus an AQL 2.5 inspection with photo and video report before the container is sealed.

Late October — sea freight cut-off for December delivery to the US and EU. After that, only rail (EU) or air remains, at roughly three to six times the unit freight cost.

Build two weeks of slack into the plan. Something always changes: a recipient list grows, a client rebrands, or a port strike appears. Slack is cheaper than air freight.
